JOB OPPORTUNITY ANNOUNCEMENT
Position Title: Executive Assistant
Division: Operations
Classification: Exempt
Location: Springfield
Salary: $50,000 -$60,000
Position Summary:
Serves as receptionist providing confidential support and constituent service for the staff at the Illinois State Capitol and Marine Bank. The individual in this classification coordinates office functions and performs administrative duties, including but not limited to preparing reports and correspondence, maintaining accurate and detailed records and files, and greeting visitors. This position also assistants in constituent customer service including telephone inquiries, internal and external referrals, data entry, correspondence and fulfillment.
Duties and Responsibilities:
- Maintains a neat, orderly, and welcoming reception area
- Answers incoming calls promptly and courteously, taking accurate messages, including forwarding calls to the proper employee/division
- Screens calls for importance, priority and necessity, answering questions relative to the office that do not require immediate attention by the Treasurer, Chief of Staff or division heads
- Greets and receives visitors and manages access to the Treasurer, Chief of Staff, Executive, and Legislative staff
- Maintains/assigns parking and keys for Capitol staff
- Receives, reviews and distributes incoming correspondence to Executive and Legislative staff and exercises independent judgment in distribution of documents to various divisions within the State Treasurer's Office (STO)
- Responds to constituent inquiries on behalf of the STO and connects constituents to appropriate state or federal agencies when inquiries are not related to the STO
- Assists Operations and Legislative Divisions with clerical and administrative duties
- Assists Operations Division with maintaining sufficient supply of bathroom, kitchenette, water, office, and printing supplies at the Capitol office
- Performs other duties as assigned or required which are reasonably related to the duties enumerated above
Specific Skills:
- Excellent multitasking and interpersonal communications skills
- Proficiency with Microsoft Office, especially Microsoft Outlook
- Strong attention to details
- Ability to maintain satisfactory working relationships and communicate effectively with all levels of staff and the general public
Education and Work Experience:
Associate Degree in Public Administration and/or Business or related field; three (3) or more years of job-related work experience; OR any equivalent combination of experience and training that provides the required knowledge, skills, and abilities to carry out the duties of the position.
