Salary:            $65,000-$75,000  

Overview: The Executive Aide serves as a key support staff member to the State Treasurer, helping ensure effective communication, coordination, and organization of his/her schedule. The primary responsibility of this role is to provide comprehensive staffing of the Treasurer across the state, enabling him/her to be well-prepared for meetings, events, and engagements by gathering and preparing briefing material and logistical information. Additionally, this position plays a crucial role in creating memos, maintaining productive relationships with constituents and will also be responsible for driving the Treasurer when needed.

Duties and Responsibilities:

  • Conduct thorough research and gather relevant information to brief the principal on upcoming meetings, events, and issues.
  • Compile comprehensive briefing materials, including summaries, reports, and supporting documents, ensuring the principal is well-informed and prepared.
  • Assist in drafting agendas, preparing presentation materials, and coordinating with other participants to ensure a smooth and organized flow of activities.
  • Generate clear, concise, and well-structured memos, reports, and other written communications on behalf of the principal, addressing various topics, policies, or initiatives.
  • Respond to constituent inquiries, concerns, and requests in a timely and professional manner. Responsible for sending thank you correspondences to relevant event and meeting hosts.
  • Collaborate with other staff members to follow up on constituent matters, track progress, and provide relevant updates to the principal.
  • Assist Director of Scheduling with correspondence, emails, and phone calls on behalf of the principal, prioritizing and filtering communication to ensure efficient workflow.
  • Drive the Treasurer to and from meetings/events when his Executive Driver is unavailable.

Requirements:

  • Bachelor's degree in a relevant field or equivalent experience.
  • Valid driver’s license.
  • Ability to perform in high-pressure and dynamic situations.
  • Ability to maintain confidentiality and exercise discretion in handling sensitive information.
  • Strong interpersonal skills, with the ability to build relationships and effectively collaborate with diverse constituents.
  • Temperament to communicate with a variety of personalities in a tactful, pleasant, and professional manner.
  • Ability to exercise discretion and independent judgement with respect to prioritization of recommendations on appointments, meetings and events.
  • Excellent organizational and time management skills with the ability to handle multiple tasks and prioritize effectively.
  • Strong written and verbal communication skills, capable of crafting clear and concise memos and reports.
  • Proficient in Word, Excel, and Salesforce.
